Job Overview
We are seeking a dynamic and detail-oriented Heavy Equipment Service Writer/Warranty Administrator to join our team. In this vital role, you will serve as the primary point of contact for customers and technicians regarding equipment repairs, service documentation, and warranty claims. Your energetic approach will ensure smooth communication between clients, service technicians, and manufacturers, helping us deliver exceptional service experiences. Responsibilities

  • Greet customers promptly and professionally, gathering detailed information about their equipment issues and service needs.
  • Handle customer concerns and complaints related to product issues, billing and pricing.
  • Write clear, comprehensive service orders and repair estimates for heavy machinery, including transmissions, brakes, suspensions, and other mechanical systems.
  • Manage warranty claims efficiently by verifying coverage, submitting documentation, and following up on approvals with manufacturers.
  • Collaborate closely with service technicians to understand repair procedures such as oil changes, transmission repairs, and diesel engine repairs.
  • Upsell additional maintenance or repair services that enhance equipment longevity and performance while meeting customer needs.
  • Maintain accurate records of all transactions, warranty submissions, parts used, and customer interactions in the dealership’s management system.
  • Handle cash transactions accurately when applicable and ensure all paperwork complies with company policies.

 

Qualifications

  • Proven dealership experience or auto service management background with a strong understanding of equipment diagnostics and repairs.
  • Hands-on mechanic experience or automotive repair knowledge across various systems including transmissions, oil changes, auto body repairs, air brakes, alignments, suspension work, tire services, shocks & struts replacements, brake repairs, and diesel engines.
  • Excellent customer service skills with the ability to communicate technical information clearly and professionally.
  • Experience with auto estimating software and auto service writing is highly preferred.
  • Strong mechanical knowledge combined with sales aptitude to upsell services confidently.
  • Ability to handle transactions accurately and maintain detailed records of warranty claims and service activities.
  • The ability to multitask
  • Must be able to use a variety of computer system including Google Docs and Microsoft Excel.
  • Familiarity with dealership operations including auto estimating processes and vehicle maintenance procedures is a plus.
  • Must be able to sit for extended periods of time.
  • Working conditions may be indoor and/or outdoor.
  • Noise level may be loud at times.

Pay: From $36.00 per hour

Expected hours: No less than 40.0 per week

Education:

  • High school or equivalent (Preferred)

Experience:

  • service writing: 5 years (Preferred)

License/Certification:

  • Motor Vehicle Inspection License (Preferred)
